Through the combined acquisitions of CellPoint and AboundBio, we are propelling ourselves into next-generation cell therapies. CellPoint brings a novel, decentralized point-of-care cell therapy manufacturing model, which has the potential to offer efficient, 7-day time to treatment and avoids complex logistics, resulting in potential better patient outcomes and broader access.

For the CellPoint/Galapagos organisation in Leiden/NL, we are looking for an Office Manager/Executive Assistant

Scope of the role:

As Office Manager/Executive Assistant your ambition is to ensure that the general office operations (currently 40 FTEs) run smoothly and efficiently. We encourage every team member to take ownership and to contribute to our mission. This position plays a key role in creating our ‘great place to work’ enabling our employees to perform at their best. Furthermore, interactions with internal and external stakeholders at every level, makes that understanding what matters to them and to the organization are an important key to your success and job satisfaction. Hence, we are looking for your business acumen, combined with a human centered approach!

More in detail, you will:

• Act as the internal and external ambassador for our Executive Team.
• Execute and improve Finance, HR, Legal and IT administrative processes, including invoice management, timekeeping, personnel files, contracts and keeping the website up to date.
• Onboard new employees, ensuring them a great start from day 1.
• Manage incoming and outgoing communication at the central desk and act as an administrative liaison.
• Organize international travel arrangements for the Executive Team.
• Manage company gatherings and events including booking meeting rooms, arranging catering, gathering supplies, ensuring room is equipped appropriately, etc.
• Communicate important updates and information to our employees as required.
• Create and maintain files, records, contact lists and databases to ensure the smooth operation of the office.
• Manage and purchase office supplies.

Who are you?

• With at least 5 years of experience as Office manager or in a comparable position, preferably with HBO degree.
• You have an eye for detail and strong organizational skills; a team player but with the ability to work autonomously with a high sense of responsibility; reliable and able to deal with confidential information in a mature and discrete way.
• Proficient in MS Office and HR and finance related software tools.
• Able to support multiple functions simultaneously in a fast-paced environment. You share our pragmatic and problem-solving attitude.
• Positive and energetic, you enjoy the challenges and opportunities of a start-up setting.
• Fluent in Dutch and English and well-crafted written and spoken communication.
• Your style is friendly and cooperative, but you are also able to push back diplomatically if needed.
• Experience in the healthcare industry and/or in a publicly listed company is a plus.
