We are looking for an International Congress & Events Lead to join our Commercial Team. 


Scope of the job

The International Congress and Events (ICE) Lead, Associate Director will report to the JYSELECA Marketing Head and will be responsible for coordinating a growing number of international and national congresses, and internal and external Galapagos events, including medical education, advisory boards, webinars and internal company /team / launch events mainly within the Commercial and Medical Affairs teams.

The ICE Lead will coordinate a team of 3 direct reports.


Your role

The role includes designing, planning, coordinating and the delivery of our external congress and events plan. Your main focus initially will be on Inflammation, supporting our Jyseleca portfolio across Europe and be expanded according to the grow of Galapagos portfolio and geography.

The role will include the creation of supporting engagement initiatives relevant to the product launch phase.

The Congress and Events Lead will therefore collaborate closely with cross functional team and provide guidance to the Development, Commercial, Market access, Medical Affairs, Market Research and Operations teams in order to ensure our presence and engagement activities align with our launch plans.

There will also be extensive management of third party vendors, professional societies hosting global congresses and our creative and medical education partner agencies.

The ICE lead will lead the planning phase of the internal events and will be the primary point of contact for any internal and external events.

The Congress and Events Lead will need to maintain regular contact with an array of project team members and departments, in order to maintain coordination and alignment, including legal, finance, procurement and compliance.


Key responsibilities also include supporting:

  • Develop and refine the internal processes and structure in place to organise logistics and manage internal and external Galapagos events, from the start to the end
  • Full project management of international congresses, in collaboration with the ICE team members, pre-during-post event management ad follow up
  • Ensure compliance with all internal and external marketing/pharmaceutical regulations (relating to our home codes of conduct + those of the countries where events may take place)
  • Assist with external agency selection, set up and day to day management
  • Administration and coordination associated with our external congress and events plan
  • Support the marketing team in the creation of marketing materials and tactics as required and associated to the external events
  • Managing budgets, purchase orders and MSAs / CDAs as required
  • Coordination of annual budget + our rolling engagement plans for future events (2-3 years ahead)
  • Line management of a team of 3 direct reports



Job requirements

Who are you ?

You have a degree in science or business related discipline with at least 5 years of experience in International Congress organization and Internal / External Event of more than 100 attendees. Your experience of having organised significant events will help you be successful in your role at Galapagos. You are a digital native with knowledge of contemporary digital channels used to support HCP engagement. You operate easily in matrix structures and you are able to manage and direct external agencies to deliver best in class event content. You are an excellent and fluent communicator in English and you easily connect with others. It goes without saying that you are a team player. You are a make-it-happener with excellent project management and planning skills.
