We are looking for Global Congress & Events Manager to join our Commercial Team!



Scope of the job


The Global Congress and Events Manager will be responsible for coordinating a growing number of international and national congresses, and internal and external Galapagos events, including medical education, advisory boards, webinars and internal company /team events


Your role


The role includes designing, planning, coordinating and the delivery of our external congress and events plan.  Your main global focus initially will be on Respiratory, supporting our Idiopathic Pulmonary Fibrosis portfolio across US and Europe.  There will also be national support needed for our Inflammation portfolio, most notably Filgotinib in Belgium and Netherlands. 

The role will include the creation of supporting engagement initiatives relevant to our pre-launch phase in respiratory at congress, and in time within medical education activities and events. Logistical oversight of advisory boards will also fall with the remit of this role. The Congress and Events Manager will therefore collaborate closely with and provide guidance to the Development, Commercial, Market access and Medical Affairs teams in order to ensure our presence and engagement activities align with our launch plans. There will also be extensive management of third party vendors, professional societies hosting global and national symposia and our creative and med comms partner agencies. Whilst not a core part of the role, we will also count on you to help with internal events, where significant event planning is needed.

As the GLPG 1690 launch moves forward this role will grow in complexity and breadth as more elements of the commercial launch plan are conceptualised and delivered. The Congress and Events Manager will need to maintain regular contact with an array of project team members and departments, in order to maintain coordination and alignment, including legal, finance, procurement and compliance.

Key responsibilities also include supporting:

  • Ensure compliance with all internal and external marketing/pharmaceutical regulations (relating to our home codes of conduct + those of the countries where events may take place)
  • Assist with external agency selection, set up and day to day management
  • Administration and coordination associated with our external congress and events plan
  • Creation of marketing materials and tactics as required
  • Managing budgets, purchase orders and MSAs / CDAs as required
  • Coordination of annual budget + our rolling engagement plans for future events (2-3 years ahead)




Who are you ? 


You have a degree in science or business related disciplines. You have congress, events and medical education experience preferable gained at an international level including complete responsibility for a global or regional congress / event. Your experience of having organised significant events will help you be successful in your role at Galapagos. You are a digital native with knowledge of contemporary digital channels used to support HCP engagement. You operate easily in matrix structures and you are able to manage and direct external agencies to deliver best in class event content.  You are an excellent and fluent communicator in English and you easily connect with others. It goes without saying that you are a team player. You are a make-it-happener with excellent project management and planning skills.
